What a missed call really costs a plumber

Playbooks

What a missed call really costs a plumber.

Most plumbers think of a missed call as one lost job. It is usually more than that, and the math is worth doing once with your own numbers.

A plumber's phone on a toolbox showing a missed call

You are under a sink with both hands full when the phone buzzes in your pocket. By the time you wipe your hands and check, the caller is gone. You make a note to call back, and by the time you do, they have already booked someone else.

Every plumber has lived that moment. The question is how often it happens and what it adds up to over a year.

Start with one week

Pull up your call log and count the calls you did not answer last week. Leave out the spam and the vendors. Most owners who do this for the first time are surprised by the number, because missed calls are easy to forget once the day gets busy.

Next, think about what share of those callers wanted work done. Not every missed call is a job, but a homeowner who calls a plumber in the middle of a weekday usually has a problem they want fixed.

Finally, use your average ticket. If you do not track it, a rough number from your last month of invoices is good enough.

Here is an example with simple numbers. Change them to match your business.

5 missed calls a week, half of them real jobs, and an average ticket of $350.5 x 0.5 x $350 = $875 a week, or about $3,500 a month.

That is only the first ticket. The real cost is bigger.

The job you lose is not the only thing you lose

A homeowner who has a good experience with a plumber tends to call the same plumber again. They call when the water heater goes, when they remodel the bathroom, and when their neighbor asks who to use. When a missed call sends them to someone else, all of that future work goes with them.

There is also the ad money. If that homeowner found you through Google, a paid ad, or a lead site, you already paid to make the phone ring. A missed call means you paid for a lead and then handed it to a competitor.

Why calling back later does not fix it

Calling back is better than nothing, but it rarely wins the job. A homeowner with a leak does not wait for a callback. They go back to the search results and call the next company on the list, and then the next, until someone picks up or replies.

That is why the first response matters so much more than the best response. The plumber who gets back to them first, even with a simple text, usually gets the chance to quote.

What actually stops the leak

You cannot answer every call, and you should not try to while you are on a job. What you can do is make sure no caller is left wondering whether you got their call.

  • Send an automatic text to every missed caller within seconds, from your business number, that says you got their call and asks what is going on.
  • Keep every text and call in one inbox on your phone, so you can reply between jobs without digging through apps.
  • Follow up on quotes that go quiet, because a quote with no follow-up is easy for a homeowner to forget.
  • Ask every happy customer for a Google review, so the next homeowner picks you from the search results.

None of that requires you to stop working. It just makes sure the phone call that rang while you were busy still has a chance to become a job.
